How to import and export contacts

Easily manage your contacts by importing new ones or exporting your existing list. This helps you keep your scheduling data up to date and reuse contact details across tools.

Before you begin

  • Use a CSV file for imports
  • Make sure your CSV file includes at least:
    • Name
    • Email address

Import contacts

This feature is in limited availability and available to select users.

Step 1 – Upload your CSV file

  1. Go to your Contacts page
  2. Select + Add contact, then Import contacts from a file
  3. Upload your CSV file

Step 2 – Map your fields

When you import a CSV file, Calendly automatically matches your spreadsheet columns to contact fields like Name, Email, Job Title, Company, Country, State, and City. If a column doesn't match, that field stays empty and you can manually map it. You can change these matches at any time.

  • Each column from your file appears on the left
  • Use the dropdown to select a matching Calendly contact field on the right
  • If a CSV column doesn’t match an existing Calendly field, create a new field. Choose a number, text, tag, currency, or date field to add a custom field.
  • Calendly imports only the columns you check. To skip importing a field, uncheck the box or remove the mapping.

Required fields:

You must map:

  • Name
  • Email

Step 3 – Choose how to handle duplicates

  1. Select Continue
  2. Choose how to handle duplicate contacts:
    • Merge with existing contact.
    • Overwrite with new information.
    • Skip and don't import this contact.
  3. Select Continue

What happens next

After the import completes, you'll see one of these outcomes:

  • All contacts imported successfully – Select View contacts to see your full list.
  • Some contacts imported, some skipped – Select Download skipped contacts to see which ones failed.
  • Contacts imported with field issues – Select View contacts with issues to check which fields didn't import correctly.

Export contacts

  1. Go to your Contacts page
  2. Select the contact(s) you want to export
  3. Select Export
  4. Select Open file

The file downloads automatically. You’ll also receive an email link that stays active for 24 hours.

Tip

To select all contacts at once, first select any contact to open the bottom toolbar. Then, select Select all [x] contacts, where [x] is your total number of contacts.
